Privacy Policy
All our users’ privacy is important to us, from Record Management Account (RMA) to Individual User Account (IUA) holders, including any General Users (GUs) with or without accounts. Accordingly, we have developed this Policy in order for you to understand how we collect, use, communicate and disclose and make use of personal information. The following outlines our privacy policy.
RMA and IUA holders are given free profile pages. Profile pages are designed to exhibit the achievements of individuals and the excellence of organizations and schools. All profiles pages, be they of an organization or a school, or of an individual user, are searchable in Recordboox unless the respective account has been disable, suspended or deleted for contravening Recordboox policies.
IUAs are created by signing in through Facebook. The information we gather from Facebook apart from standard information passed by Facebook, is first name, last name, image, email address, and the url for the respective individual’s Facebook profile. The first name, last name and full name are used in various processes to help maintain the integrity of records, settling of disputed records and in processes essential to the function of Recordboox. They are publicly available on the profile page of a IUA. Email addresses are not shared with any third parties, but may be shared with the holder of an RMA account as part of or in addition to the verification process when a IUA holder claims a record. For example, if John Smith has an IUA and uses it to claim a record created by his alma mater Harvard, who created the record using their RMA, Recordboox may share John’s email address with Harvard only after John has claimed the record. If John Smith does not claim the record, his email address will not be shared with Harvard or any other third party. In short, no email addresses will be shared with any RMA account with which a user does not claim an association through the act of claiming a record created by that RMA account.
Recordboox will not share, sell or distribute any user’s email address to any third party without express permission from the owner of the IUA, except as required for Recordboox with the objective of fulfilling those purposes specified by us and for other compatible purposes. We will only retain personal information as long as necessary for the fulfillment of those purposes. We will collect personal information by lawful and fair means and, where appropriate, with the knowledge or consent of the individual concerned. Personal data should be relevant to the purposes for which it is to be used, and, to the extent necessary for those purposes, should be accurate, complete, and up-to-date.
We will protect personal information by reasonable security safeguards against loss or theft, as well as unauthorized access, disclosure, copying, use or modification. We will make readily available to customers information about our policies and practices relating to the management of personal information. We are committed to conducting our business in accordance with these principles in order to ensure that the confidentiality of personal information is protected and maintained.
Recordboox will comply with all valid legal inquiries by the federal government.
